The terms.
What you are agreeing to.

The agreement for using Nextmail, written to be read. If anything here surprises you, tell us: that is a fault in the writing, and we would rather fix it than rely on it.

In effect from October 14, 2026Privacy Policy

The short version

  • Your mail stays yours

We store and process it to run the service and for nothing else. We never sell it, and we never train models on it.

  • You pay for the plan you chose

Plans renew until you cancel, and a cancelled plan runs to the end of the period. Extra usage stays off until you turn it on.

  • No spam, no abuse

Send bulk mail only to people who asked for it. We pause sending that puts other people’s mail at risk.

  • Nobody can promise an inbox

We work to deliver every message, but receiving servers decide where it lands. Keep a copy of anything you cannot lose.

  • You can leave whenever you like

Export your mail, contacts and settings, then delete the workspace and your account yourself.

  • Your consumer rights stay

The terms follow the law of North Macedonia, and nothing in them removes the protection of the law where you live.

The agreement

These terms are an agreement between you and Nextmail (“we”, “us”), which runs the email service at openemail.uk: the web app, the apps for iOS and Android, the API, the SDKs, the command line tool, the MCP server and the free tools on this site. Together these are “the service”.

You accept these terms when you create an account or use the service. If you do not accept them, do not use it.

If you use the service for a company or another organisation, you accept these terms on its behalf and confirm that you may. “You” then means both you and the organisation.

The Privacy Policy explains what we do with personal data. When a workspace holds other people’s personal data, the terms in Processing data for you apply as well.

These terms are written in English. Translations are there to help, and where a translation differs from the English text, the English text applies.

Your account

You must be at least 16 years old to use the service.

Sign up with an email address you control and keep it working. Security notices, billing notices and password resets go there.

Keep your password and authenticator codes to yourself, and turn on two-factor sign-in in Account → Security. A workspace owner can require it of everyone in the workspace.

You are responsible for what is done through your account, including through its API keys, connected apps and signed-in devices, until you tell us it has been compromised.

If you think someone else has got into your account, change your password, sign out of your other sessions and write to [email protected].

Workspaces and teams

Mail, domains, addresses, contacts and settings live in a workspace. Every account also has a personal space for its own address at openemail.uk.

The person who creates a workspace owns it. The owner decides who joins, what each role may do and which addresses each member can reach, and answers for how the people they let in use it.

What is in a workspace belongs to the workspace. When a member leaves or is removed, their access ends and their work stays with the workspace.

A plan belongs to a workspace, not to a person. The owner, and members whose role includes billing, can buy, change or cancel it.

On a paid plan, an owner can give an address its own password so that someone can sign in to that one mailbox. The owner answers for those sign-ins as for any member.

Domains and addresses

Connect only domains you own or are allowed to manage. The domain stays your responsibility: its registration, its renewal and its DNS.

Connecting a domain means publishing the records we show you, which bring its mail to us and let us send on its behalf. If you connect your DNS provider, we write those records for you with the access you grant there.

Every account can have one address at openemail.uk, named after its username. We provide that address, and we may refuse or take back a username that impersonates someone, misleads people or infringes someone else’s rights. When an account is deleted, its address stops working and its username can be taken by someone else.

Removing a domain stops its mail and removes its addresses. Removing the last domain in a workspace also deletes all the mail stored in that workspace. The app asks you to confirm first, and neither can be undone.

We may refuse a domain, or stop serving one, when it is used to deceive or harm people or when we cannot verify it.

The service

The service is what the features pages and the documentation describe. Something marked as coming soon is not part of it until it ships.

The service keeps changing: features are added, reworked and occasionally removed. If we remove something a paid plan relies on, we tell the workspace owner before it goes.

We work to keep the service running. Workspaces on the Business and Enterprise plans are covered by the uptime guarantee. On other plans we do not promise that the service will never be interrupted. Incidents and planned work are posted on the status page.

Mail sent from an address without a signature carries a short “Sent via Nextmail” line. You can switch it off in that address’s signature settings.

Email crosses systems we do not control: the receiving servers, their spam filters and the DNS of everyone involved. We cannot promise that a message will be delivered, or that it will reach an inbox rather than a spam folder.

Plans and limits

Each workspace is on one plan. These are the plans as they stand on the date at the top of this page. The pricing page always shows the current ones, and the price at checkout is the price you pay.

The Free plan has no time limit and needs no card. It is not a trial, and no paid plan has a trial either.

Receiving mail is never limited, on any plan.

Sends are counted per workspace for each calendar month in UTC. Until November 1, 2026, a message counts once however many people it goes to. From that date, every recipient counts as one send, as every broadcast recipient already does.

AI actions are counted per workspace for each day in UTC. A request you make counts as one action, and designing a template or a form with AI counts as 10 actions.

Labels that AI applies read new mail up to the number of messages a day shown for the plan, counted per workspace for each day in UTC. Mail that arrives past that number is delivered as usual, without those labels. That reading uses no AI actions, and trying a label on recent mail counts as one action.

Every workspace also has safety limits, the same on every plan: 1,000 addresses, 20 API keys, 10 webhooks and 100 sign-up forms, among others. They contain mistakes and abuse, and [email protected] can raise one when you need more.

When a workspace reaches a limit, what that limit counts stops until the next period, until the workspace moves to a bigger plan, or until pay as you go covers it.

On a smaller plan, the live automations, active tasks and connectors past its limits are paused, the newest first. Nothing is deleted, and they can run again once they fit the plan.

Payment and cancellation

Payments are handled by Polar, which acts as our reseller and merchant of record. Polar sells you the subscription, takes the payment, charges sales tax or VAT where it applies and issues receipts and invoices, and its own terms apply to the purchase.

Paid plans renew automatically at the end of each monthly or yearly period until they are cancelled. We email a reminder well before a yearly plan renews, and a notice a few days before every charge.

Change or cancel a plan in Billing. A move between monthly and yearly billing is charged straight away with the difference prorated, and other changes are prorated on the next invoice. New limits apply as soon as a change goes through.

Cancelling stops the next renewal. The plan stays active to the end of the period you paid for, and then the workspace moves to the Free plan. Nothing is deleted because a workspace is over the Free plan’s limits: they apply to what it does next.

If a payment fails, Polar tries again and the plan keeps working in the meantime. If the payment still cannot be collected, the plan ends and the workspace moves to the Free plan.

Plan fees are not refunded once a billing period has started, unless the law gives you a right to a refund or we decide to make an exception. A refund goes back through Polar to the original payment method.

If you are a consumer with a legal right to withdraw from an online purchase, as in the EU and the UK, you can withdraw within 14 days of buying a plan by writing to [email protected]. You get back what you paid, less a proportionate amount for the days the plan was active.

Pay as you go is optional and stays off until you turn it on. It buys AI actions beyond the plan at $0.25 per 100 actions on any plan, and on paid plans sends beyond the plan at $0.40 per 1,000 sends. It is a separate monthly subscription with a spending limit you set, billed after each month for what was used.

A deep address check, which asks whether a mailbox exists, is also bought through pay as you go, at $1.50 per 100 addresses on any plan.

We may change prices. A new price applies from your next renewal after at least 30 days’ notice by email, and you can cancel before it does.

Deleting a workspace ends its plan at once and settles any pay as you go usage. The unused part of the period is not refunded.

Acceptable use

Email works because most people use it in good faith. Do not use the service to:

  • send bulk or marketing mail to people who did not ask for it, mail bought, rented or scraped lists, or keep mailing people who unsubscribed or whose addresses bounce
  • send phishing, malware or scams, impersonate a person, brand or organisation, or disguise where a message came from
  • store or send anything illegal, including material that sexually exploits children, threats, harassment, or content that infringes someone else’s rights
  • probe, overload or interfere with the service or anyone’s account, get around a limit or a security control, or open accounts or workspaces to multiply free allowances

Mail to an audience needs each recipient’s permission. Sign-up forms can ask for it and record it. Every broadcast carries a one-click unsubscribe that the service honours by itself, and a broadcast sent from your own template must also show a visible unsubscribe link.

To protect recipients and the sending reputation that every customer’s mail depends on, we may hold or pause sending, disable an address, a form or an API key, or suspend a workspace, automatically or by hand. Where we can, we tell you first and explain what to fix.

Report abuse that comes from the service to [email protected].

Your content

Everything you keep in the service or send through it, from mail and attachments to contacts, files, templates and forms, stays yours. These terms give us no ownership of it.

You let us store, copy, process, transmit and display it only as far as running the service for you needs: to deliver and store mail, index it for search, check it for spam, phishing and malware, run the features you use, including the AI features the Privacy Policy describes, and show it to the people you share it with.

We do not sell your content, and we do not use it to train AI models.

What you publish, such as a sign-up form or a shared file link, can be seen by anyone who has the link until you take it down.

You confirm that you have the right to store and send what you put in the service, and that doing so breaks neither the law nor anyone else’s rights.

If you send us ideas or feedback, we may use them without owing you anything.

AI features

Some features use AI models, among them summaries, drafting, translation, the assistant, sender research, the phishing and authorship checks and the template and form designers.

AI output can be wrong, incomplete or out of date. Read it before you rely on it or send it: a message the AI drafted still goes out under your name.

The assistant works only through the tools your role allows. It always asks before it sends mail or deletes something for good, and it asks before any other change you did not ask for.

What reaches a model, and what is kept afterwards, is set out in the Privacy Policy.

API, SDKs and connected apps

We give you a personal, non-exclusive licence to use our SDKs, command line tool and MCP server to work with the service for as long as you use it. They remain ours.

API keys are secrets. A key acts for the workspace owner within the scopes it was given, so anyone who holds it can do what it allows. Keep keys out of code and logs, and revoke one you think has leaked in API keys.

An app you connect acts for you with the access you approved. You can review and disconnect apps in Connected apps. Apps made by others are their makers’ responsibility, not ours.

Keep to the rate limits, and do not use the API to get around plan limits or these rules.

When a change could break an integration, we announce it in the documentation and the SDK changelogs before it lands, unless security forces it sooner.

Free tools

The free tools on this site, such as the temporary inbox, the DMARC record generator and the deliverability, BIMI and cost checkers, are free, provided as they are, and may change or stop at any time.

A temporary inbox is for throwaway sign-ups. It lasts 1 hour and can be extended to 24 hours at most. Only the browser that opened it can read it, but anyone who takes the same address later receives what arrives after that. Each message is deleted from our server a day after it arrives. Do not use one for anything private or important, or to get around another service’s rules.

Processing data for you

When a workspace keeps personal data about people, such as its members’ mail, the people it writes to, its contacts, audiences and form sign-ups, the workspace is the controller of that data and we process it on its behalf. This section is our data processing agreement with the workspace, and the Privacy Policy describes the processing in detail.

We process that data only to provide the service, as these terms, your settings and your use of the product direct, unless the law requires otherwise. If it does, we tell you first unless the law forbids that.

Only the people who run the service can reach it. They are bound to confidentiality and use that access to operate, secure and support the service.

We protect it with the measures the Privacy Policy sets out, including encryption in transit and at rest.

We use the subprocessors the Privacy Policy lists. A new one is added to that list at least 30 days before it starts processing workspace data, and an owner who objects can end the service before then.

The product lets you export, correct and delete the data, and we help with requests it cannot answer by itself.

If we learn of a breach that affects workspace data, we tell the owner without undue delay, with what we know and what we are doing about it.

When a workspace is deleted, its data is deleted as the Privacy Policy sets out, apart from what the law requires us to keep.

Some of our providers process data outside the country it came from. Where the law requires a safeguard for that, such as the European Commission’s standard contractual clauses, we rely on the one in that provider’s data processing terms.

Suspension and ending

You can stop at any time: cancel the plan, take a copy of your data from Settings → Export, then delete the workspace and your account.

We may suspend or end your access, in whole or in part, if you break these terms or the law, if a payment is not made, if your use puts the service, other customers or the people they write to at risk, or if the law or one of our providers requires it.

Unless the risk or the law calls for immediate action, we tell you first, give you time to put things right and let you export your data before anything is deleted.

When an account or a workspace is deleted, its data is deleted as the Privacy Policy sets out. What these terms say about content, liability and disputes continues to apply afterwards.

Warranty and liability

The service is provided “as is” and “as available”. As far as the law allows, we give no warranties beyond those in these terms, including implied warranties of merchantability, fitness for a particular purpose and non-infringement.

Keep your own copy of anything you cannot afford to lose. Settings → Export gives you one whenever you want it.

As far as the law allows, we are not liable for indirect or consequential loss, or for lost profits, revenue, data or goodwill.

As far as the law allows, our total liability for all claims about the service is limited to the larger of what you paid us in the twelve months before the claim arose and $100.

Nothing in these terms limits liability that the law does not allow to be limited, such as for fraud, for death or personal injury caused by negligence, or for harm caused intentionally or by gross negligence, and nothing in them removes your rights as a consumer.

If you use the service for a business, you will cover our reasonable costs from a claim by someone else that arises from your content or from your breach of these terms or the law.

Changes to these terms

We may change these terms. The date at the top of this page shows the version in force.

If you do not accept a change, stop using the service and cancel. Using the service after that date means you accept it.

Governing law and disputes

If something goes wrong, write to us first at [email protected]. Most problems are settled faster that way, and we aim to resolve yours within 30 days.

These terms are governed by the law of the Republic of North Macedonia.

The courts of Skopje have jurisdiction over any dispute about the service or these terms.

If you are a consumer, you keep the protection of the mandatory law of the country where you live, and you can also bring a claim in its courts.

General

These terms, together with the Privacy Policy and the pages they refer to, are the whole agreement between you and us about the service.

If a part of these terms cannot be enforced, the rest still applies, and not enforcing a part straight away does not mean we give it up.

We may transfer this agreement to a company set up to run the service, or to whoever takes the service over, and we will tell you if we do. You may not transfer it without our agreement.

We send notices to the email address on your account. Send yours to [email protected].

We are not responsible for a failure caused by events beyond our reasonable control, including outages at the providers the service depends on. This does not reduce the uptime guarantee: an outage at a provider the service depends on still counts as downtime there.

Contact

Write to [email protected] or use the contact page with questions about these terms, to report abuse that comes from the service, or to report a security issue.
